Position: Contracted Services and Asset Procurement Manager
Reports To: Director of Corporate Real Estate Management (CREM)
Location: Winston-Salem, NC

Position Summary:

The Contract Manager will ensure consistent management of all proposals and contracts and manage all aspects of the administrative, financial, and operations of the asset portfolio; establish and maintain vendor relationships by serving as point of contact for contractual matters; will plan and manage assets according to the department’s needs and work to beneficially manage the portfolio to minimize risk.

The Contract Manager will be a strategically-minded individual with strong interpersonal skills and extensive experience managing physical assets through the entire lifecycle. Position includes providing guidance for an effective procurement function for the CREM department. The Contract Manager’s role in the contract development process requires close collaboration with various departments at The Clearing House including significant interaction with the contract management team.

Qualifications Required:

  • Bachelor’s Degree in business, finance or 15 years related experience
  • Minimum of five years progressive responsibility with quantifiable results in contracted service administration, asset tracking and procurement management
  • Demonstrate negotiation and problem-solving skills
  • Strong contract modeling software skills
  • Robust skills in Microsoft Office software, including Word, Excel, PowerPoint, Access, Project and Visio
  • Ability to meet project objectives within designated constraints
  • Strong verbal and written skills and ability to convey complex information in a way others can readily follow
  • Ability to maintain and update contractual records, changes, status reports, and other information

Qualifications Desired:

  • Experience with Ariba, financial/inventory tracking software
  • Prior work experience in a contract management role with focus toward technical services
  • Experience in applying organizational standards when developing requests for proposals

Essential Functions and Responsibilities:

  • Draft, evaluate, negotiate and execute contracts
  • Manage record keeping for all contract-related correspondence and documentation
  • Ensure that contracts and proposals are properly entered into organizational databases
  • Provide contract-related issue resolution, both internally and externally
  • Monitor and complete contract close-out, extension or renewal, as appropriate
  • Communicate contract-related information to all stakeholders
  • Draft variety of contracts, nondisclosure agreements, sales, licensing agreements, distribution, commercial, and public agreements
  • Produce and maintain internal contractual guidance documents and assets portfolio
  • Assess and manage risks associated with current assets
  • Travel to property sites as needed to manage assets
  • Discuss department's fiscal performance with management
  • Monthly, quarterly and annual reporting of the asset portfolio
  • Serve as point-of-contact between two parties in contractual matters
  • Provide red-lined recommendations on contracts
  • Provide guidance on contracts to staff, managers, and executives
  • Monitor contract compliance with established procedures
  • Work with other teams, such as finance or legal, on contract requirements
  • Assure accuracy and appropriateness of contract text and attachments
  • Maintain deadlines on deliverables and communicate on an ongoing basis with director and team about contractual issues
  • Provide updates on all procurement activity

Physical Demands and Work Environment:

Work is generally sedentary in nature, but may require standing and walking. The working environment is generally favorable. Lighting and temperature are adequate, and there are no hazardous or unpleasant conditions caused by noise, dust, etc. Work is generally performed within an office environment, with standard office equipment available. Ability to view and comprehend information on a computer monitor, ability to effectively utilize a PC workstation keyboard and mouse and ability to work at a PC workstation for extended periods.
